These Terms & Conditions (“Terms”) govern your use of the Ariane Voyage website and services, including luxury travel design, concierge, and booking coordination. By accessing our website, requesting a proposal, paying any fee, or confirming any booking, you confirm that you have read, understood, and accepted these Terms.
Ariane Voyage is operated by Ariane Voyage FZCO (IFZA, United Arab Emirates) (“Ariane Voyage”, “we”, “us”, “our”).
1) OUR ROLE
Ariane Voyage is a luxury travel design studio and concierge. We curate, plan, coordinate, and (where applicable) arrange travel services through trusted third-party suppliers.
We do not own, manage, operate, or control airlines, hotels, resorts, villa owners, cruise lines, destination management companies, tour operators, transport providers, guides, restaurants, or wellness/medical providers (collectively, “Suppliers”).
All travel products and services are subject to each Supplier’s independent terms, conditions, availability, and performance.
2) SERVICES PROVIDED
Depending on your selected scope, Ariane Voyage may provide:
-
itinerary strategy and trip design
-
accommodation recommendations and/or bookings
-
transfers, chauffeurs, guides, and experiences (where applicable)
-
restaurant planning and reservations (where applicable)
-
coordination with Suppliers and destination partners
-
schedule refinement and pre-departure support
-
optional wellness / longevity-oriented journey structuring (non-medical)
Unless otherwise agreed in writing, Ariane Voyage does not provide visa services, insurance, or medical advice.
3) CONSULTATIONS, PROPOSALS & QUOTATIONS
Any consultation, draft itinerary, estimate, proposal, or quote:
-
is indicative and subject to change,
-
does not guarantee availability,
-
may expire at any time due to Supplier inventory changes, and
-
may be impacted by currency fluctuations, taxes, resort fees, and local surcharges.
A booking is only confirmed when:
-
we confirm it in writing, and
-
the required payment has been received, and
-
the Supplier confirms the reservation.
4) FEES, DEPOSITS & PAYMENT STRUCTURE
4.1 Ariane Voyage Planning / Concierge Fees
Ariane Voyage charges professional service fees for travel design and concierge work (“Service Fees”), which may include:
-
research, curation, and itinerary creation
-
Supplier outreach and negotiation
-
booking management and coordination
-
revisions and logistics support
Service Fees are separate from Supplier costs (flights, hotels, transfers, experiences, etc.), unless explicitly stated as included.
4.2 Deposits & Balance Payments
Payment structure depends on the trip and Supplier requirements. Ariane Voyage may request either:
-
full payment upfront, or
-
a deposit to confirm, followed by a balance payment prior to travel.
If payment is not received by the stated deadlines, Suppliers may cancel reservations and impose penalties. Ariane Voyage is not liable for losses caused by late payment.
4.3 Currency & Bank Charges
Prices may be invoiced in AED, EUR, USD, GBP, or other currencies depending on the trip. Clients are responsible for:
-
bank transfer fees,
-
card processing fees (if applicable),
-
foreign exchange fluctuations.
5) REFUND & CANCELLATION POLICY
This section applies to all Ariane Voyage services and bookings.
5.1 Ariane Voyage Fees (Strictly Non-Refundable Once Work Begins)
Ariane Voyage planning and concierge fees are non-refundable once work begins.
This includes, without limitation:
-
consultations and planning calls
-
itinerary drafting and revisions
-
Supplier sourcing and communications
-
reservation requests and holds
-
negotiation and coordination work performed before, during, or after travel
This applies regardless of:
-
a change of mind,
-
trip cancellation by the client,
-
inability to travel,
-
visa refusal,
-
medical situations (unless covered by insurance),
-
force majeure events.
5.2 Supplier Refunds & Cancellations (Supplier Terms Apply Separately)
Supplier cancellation and refund policies apply separately and may be strict, non-refundable, or subject to penalties. Ariane Voyage cannot override Supplier terms.
If a Supplier authorises a refund, it will be processed according to:
-
the Supplier’s policy and timeline, and
-
the original payment method where possible, or as a credit note if required by the Supplier.
5.3 Travel Insurance Recommendation
Travel insurance is strongly recommended. Lack of insurance does not create liability for Ariane Voyage.
5.4 Written Cancellation Requirement
All cancellation requests must be submitted in writing (email or written confirmation message). The cancellation date is the date we receive written notice.
5.5 No Refund for Unused Services
No refund will be provided for unused travel services, including:
-
no-shows,
-
late arrivals,
-
early departures,
-
missed experiences,
-
unused hotel nights.
6) CHANGES, REBOOKINGS & REVISION POLICY
Travel planning often requires changes. We will assist where possible; however:
-
Suppliers may charge change / amendment fees,
-
pricing may increase due to availability or seasonality,
-
changes may require additional Ariane Voyage Service Fees based on complexity.
Urgent requests (last-minute changes, time-sensitive coordination, or high-intensity support) may be billed as priority handling.
7) FORCE MAJEURE / TRAVEL DISRUPTIONS
Ariane Voyage is not liable for events outside our control, including but not limited to:
-
weather and natural disasters
-
government restrictions or border closures
-
pandemics/epidemics
-
strikes, protests, war, terrorism
-
airline schedule changes or cancellations
-
Supplier insolvency or service failure
In such cases:
-
Ariane Voyage Service Fees remain non-refundable once work begins, and
-
Supplier refunds/credits follow Supplier terms.
8) TRAVEL INSURANCE
We strongly recommend comprehensive travel insurance including:
-
trip cancellation & interruption
-
emergency medical coverage
-
evacuation and repatriation
-
baggage and personal belongings
-
“Cancel For Any Reason” coverage (where suitable)
Clients accept responsibility for selecting adequate insurance.
9) CLIENT RESPONSIBILITIES
You are responsible for:
-
passport validity, visas, entry requirements
-
compliance with airline and destination rules
-
ensuring traveller names match passports exactly
-
confirming preferences and special requirements in advance
-
reviewing itinerary and confirmations promptly
Ariane Voyage is not liable for losses caused by incorrect client-provided information.
10) HEALTH, WELLNESS & LONGEVITY DISCLAIMER (NON-MEDICAL)
Ariane Voyage may curate wellness, performance, and longevity-oriented journeys.
However:
-
we do not provide medical advice, diagnosis, or treatment,
-
we do not interpret medical results,
-
any clinical services are provided solely by licensed medical professionals and clinics,
-
clients are responsible for assessing suitability and medical risk with their healthcare provider.
Participation in wellness activities (spa, fitness, recovery, etc.) is at the client’s own discretion and risk.
11) THIRD-PARTY SUPPLIERS & LIABILITY
Suppliers are independent contractors and not agents or employees of Ariane Voyage.
Ariane Voyage is not responsible for:
-
Supplier acts/omissions,
-
changes to schedules, amenities, or policies,
-
service quality issues,
-
accidents, illness, injury, loss, theft, delays, or disruption.
We will support resolution where possible; however, the contractual relationship for delivery of travel services remains between the client and the Supplier.
12) LIMITATION OF LIABILITY
To the maximum extent permitted by UAE law:
-
Ariane Voyage is not liable for indirect, consequential, or special damages.
-
Ariane Voyage’s total liability (if any) is limited to the amount of Ariane Voyage Service Fees actually paid by the client for the relevant services (excluding Supplier costs).
13) CHARGEBACKS & PAYMENT DISPUTES
Clients agree not to initiate chargebacks for legitimate services already delivered (including planning, itinerary design, consultations, and coordination).
Unjustified chargebacks may result in:
-
termination of service,
-
cancellation of outstanding coordination support,
-
recovery action for unpaid fees and costs.
14) INTELLECTUAL PROPERTY
All itineraries, documents, frameworks, written materials, and curated proposals remain the intellectual property of Ariane Voyage.
Clients may use them for personal travel only. They may not be reproduced, resold, published, or distributed without written permission.
15) PRIVACY & DATA SHARING
By engaging Ariane Voyage, you consent to us processing and sharing necessary personal details with Suppliers to arrange your travel (names, DOB, passport details where required, preferences, etc.).
Your data is handled according to our Privacy Policy.
16) RIGHT TO REFUSE OR TERMINATE SERVICE
Ariane Voyage may refuse or terminate service at our discretion in cases including:
-
abusive or threatening behaviour
-
fraud or misrepresentation
-
repeated non-cooperation
-
unethical or inappropriate requests
-
non-payment
In such cases, Service Fees remain non-refundable once work begins, and Supplier terms still apply.
17) GOVERNING LAW & JURISDICTION (UAE)
These Terms are governed by the laws of the United Arab Emirates. Any disputes shall be handled in the competent courts of the UAE, unless otherwise required by applicable regulation.
